Epson Printer Setup

Epson Printer Setup splits into two very different experiences depending on what you bought, and almost nobody tells you which one you're in until you've already opened the box.

If you have a cartridge model, setup is quick and the ink questions come later. If you have an EcoTank, the first fifteen minutes matter more than anything else you'll do, and mistakes there are expensive to undo. This guide separates the two properly instead of pretending they're the same machine.

It also covers what changed on the software side this year, because Windows stopped handing out printer drivers in 2026 and that quietly rewrote the first half of every Epson setup guide written before it.

What's different in 2026 Windows mostly doesn't want a driver now

Microsoft has been phasing out third-party printer drivers since 2023, and this is the year it became the default behaviour rather than a preference.

Two dates did the work. On 15 January 2026, Windows Update stopped publishing new third-party printer drivers for Windows 11 and Windows Server 2025. On 1 July 2026, Windows changed its driver ranking so its own built-in IPP class driver is always preferred when a printer is installed.

In practice: add a reasonably modern Epson to Windows 11 and it prints straight away. No 500 MB installer, no reboot, no six-step wizard. Windows talks to it over a standard protocol.

Your existing Epson drivers still work. Nothing got removed from your PC. But if you're starting fresh, start driverless and only reach for Epson's full software package when something specific is missing, which for Epson usually means scanning.

That's the important caveat. The generic Windows driver prints. It doesn't scan. On a multifunction Epson you will still end up installing Epson software for the scanner side, and that's normal, not a sign something went wrong.

Smart Panel is the app, and it now sets up over Bluetooth

Epson iPrint was the mobile app for years. Epson Smart Panel replaced it in most regions and it's what Epson's own setup cards point to now. iPrint still exists for older hardware that Smart Panel never supported, and Epson's supported-model list is the deciding factor. If Smart Panel can't find your printer, check that list before assuming something is broken.

The genuinely useful change is how Smart Panel handles first-time Wi-Fi setup. On supported models it connects to the printer over Bluetooth, then hands your Wi-Fi credentials across. That means your phone doesn't have to temporarily join the printer's own network, and it sidesteps the whole 2.4 GHz versus 5 GHz mess that ruins so many wireless setups.

Requirements are specific: Bluetooth on, phone already connected to the Wi-Fi network you want the printer on, and the phone physically close to the printer. Ink and initial hardware setup must be finished first.

Decide your firmware position before you set anything up

Epson has a long, documented history here. A US class action alleged that a firmware update let certain Epson printers detect third-party cartridges and refuse to print with them, showing a cartridge-not-recognised error, and that owners weren't told the update would do this. Reports of the same pattern continue on current WorkForce models: cartridges that worked yesterday stop being recognised the day after a firmware update.

The mechanism is a change to how the printer authenticates the cartridge chip. Third-party chips are built against the previous handshake. When the firmware tightens it, they fail. Compatible-cartridge suppliers respond by shipping updated chips, so this is a recurring cycle rather than a permanent block.

None of that is a reason to panic. It's a reason to make a choice at setup:

Running genuine Epson ink, or an EcoTank you fill from Epson bottles? Leave automatic updates on. You'll never think about this again. Planning to run compatible cartridges? Turn automatic firmware updates off during initial setup, and update manually only when you have a reason to. Epson does not make rollback easy, so this is close to a one-way decision.

The setting lives under Settings → General Settings → System Administration → Firmware Update → Auto Update on most current models, and it's also offered as a yes/no during the first-run wizard, where it's very easy to click past.

Work out which Epson you have

Epson's model prefixes are consistent and they tell you most of what you need before you read a single spec sheet.

XP — Expression Home and Expression Premium. Compact all-in-ones with cartridges, aimed at homes. Photo-capable on the Premium models. WF — WorkForce and WorkForce Pro. Office machines with cartridges, faster, usually with a document feeder and often fax. WorkForce Pro uses larger, higher-yield cartridges. ET — EcoTank. Refillable ink tanks instead of cartridges. Higher purchase price, far lower running cost. L — the same EcoTank hardware, sold under L-series naming across much of Asia, the Middle East and Latin America. An L3250 and an ET-2810 are close cousins. If a guide references an ET model you can't find locally, look for the L equivalent. SC or SureColor — photo and wide-format machines. Different setup considerations entirely, mostly around media handling. DS — sheet-fed document scanners, no printing.

Find the full model on the front panel, on a label under the scanner lid, or on a sticker at the back near the power inlet. You want the whole string. XP-4200 and XP-4205 are regional variants of the same machine, and quoting the wrong one on a support page sends you to the wrong download.

Regional caveat worth knowing: Epson's model availability is not uniform. The same physical printer is sold as ET-2810 in Europe, ET-2800 in North America and L3250 in India and Southeast Asia, with different cartridge or bottle part numbers. Match parts to your regional model number, not to the guide you're reading.

Physical setup: this is where Epson differs from everyone else If you have a cartridge model, XP or WF Remove all tape and packing material, including the blue or orange strips inside the cartridge carriage. Open the scanner unit and look. Power on before installing cartridges. Epson machines move the carriage into position when they boot. Unwrap each cartridge and remove the yellow tape. Do not touch the green chip or the ink port. Skin oil on the chip is a genuine cause of not-recognised errors. Push each cartridge down until it clicks. A cartridge that's seated but not clicked reads as missing. Close the scanner unit and let the printer charge the ink system. This takes several minutes and makes noise. Leave it alone. Note that the starter cartridges are partly consumed by that first charge. That's normal and not a fault. If you have an EcoTank, ET or L

This part is the whole ballgame. Get it wrong and you're looking at a service visit.

Keep the printer level. Do not tilt it, shake it, or stand it on end at any point after ink goes in. Remove all tape and open the tank unit cover. Fill every tank, and fill it to the upper line. Not partially. Not three out of four. The initial charge pulls ink from all channels at once, and an underfilled tank means air enters the line. Modern Epson bottles have a keyed nozzle that fits only the correct tank and stops automatically when the tank is full. Don't squeeze. Let it flow and let it stop. Close everything, then start the initial ink charging from the panel. This takes roughly seven to eleven minutes depending on the model. Do not turn the printer off, open covers, or unplug it during this. An interrupted initial charge is the single most common way people damage a brand new EcoTank. When it finishes, print a nozzle check before anything else. If any lines are missing, run one head cleaning and check again.

A note on transporting an EcoTank later: once ink is in, it can't be casually moved. Epson models have a transportation lock or specific packing instructions, and moving one upright in a car boot without following them causes leaks into the chassis. If you might be moving house soon, look up your model's transport procedure before filling it.

Network prep before you touch the Wi-Fi menu Check your band

Many Epson home models connect on 2.4 GHz only. Newer WorkForce and higher-end EcoTank models handle 5 GHz, but don't assume.

The classic failure looks like this: your router broadcasts both bands under one name, your phone sits on 5 GHz, you run setup from the phone, and the printer never finds the network. The error message tells you nothing useful.

Three ways around it:

Use Smart Panel's Bluetooth setup, which mostly bypasses the problem. Temporarily split your router's bands into separate network names. Enter the 2.4 GHz network name manually on the printer instead of picking from a scan list. Check your security mode

Some older Epson models can't join a WPA3-only network. If your router is set to WPA3 exclusively, switch to WPA2/WPA3 mixed mode for setup. You can usually leave it there afterwards without harm.

Also check that AP isolation or client isolation is off. It's on by default on some guest networks and it blocks devices from seeing each other, which is exactly what a printer needs to do.

Pick your connection

Wi-Fi suits most homes. Everything on the network can print, nothing is tethered. Its one weakness is IP addresses that change, which is fixable and covered below.

Ethernet, where the model supports it, is the quiet winner for anything that sits near the router. Faster setup, no band issues, no dropouts, and phones can still print to it over the network.

USB works for a single desk with a single computer. Note that Epson's driverless Windows path is weaker over USB than over the network, so if you're on Windows 11 and want the simplest install, network is easier even for a machine sitting right beside the PC.

Wi-Fi Direct makes the printer broadcast its own network, named something like DIRECT-xxxxxxxx. Useful as a fallback or at a location without a router. Your device loses internet access while connected to it, so it isn't a good primary setup.

Step one: put the printer on the network

Do this from the printer or from Smart Panel, before you go anywhere near a computer installer. Most failed Epson setups are people running the desktop installer first and asking it to find a printer that was never connected.

Using Smart Panel, the easiest route on recent models Finish hardware setup and ink charging first. Connect your phone to the Wi-Fi network you want the printer on. Turn Bluetooth on. Install Epson Smart Panel and open it near the printer. Follow the add-a-printer prompts. The app finds the printer over Bluetooth and passes your Wi-Fi details across. Confirm on the printer panel if asked. Using a touchscreen panel Tap the network or Wi-Fi icon on the home screen, or go to Settings → General Settings → Network Settings. Choose Wi-Fi Setup → Wi-Fi (Recommended). Choose Wi-Fi Setup Wizard. Pick your network, or select the option to enter the name manually if it's hidden or on a band the printer can't scan. Enter the password. It's case sensitive. Wait for the connection report and print it when offered. Using a small LCD with arrow buttons Press the Home button, then arrow to the network or wrench icon. Select Wi-Fi Setup or Network Settings, press OK. Choose Wi-Fi Setup Wizard. Select your network and enter the password using the arrow keys. Slow, but it works. Using WPS, on models with no real screen Hold the Wi-Fi button on the printer for about five seconds, until the two lights flash alternately. Within two minutes, press and hold the WPS button on your router. Wait. When the Wi-Fi light stays on solid, you're connected.

If the lights flash simultaneously rather than alternately, the connection failed. Power cycle the printer and try again, or fall back to Smart Panel.

Then print the network status sheet

This step takes ten seconds and saves you hours later.

On models with a menu: Settings → General Settings → Network Settings → Network Status → Print Status Sheet.

On button-only models: hold the network status button, usually marked with a sheet-and-network icon, for about five to ten seconds.

The sheet gives you the printer's IP address, its MAC address, the network it joined, and the firmware version. Keep it. You'll need the IP for manual setup on any device that fails auto-discovery.

Lock the IP address down

The number one cause of "my Epson keeps going offline" is the router handing it a different IP address after a reboot.

Fix it once: log into your router, find the connected devices or DHCP client list, locate the Epson, and create a DHCP reservation so it always gets the same address. This is better than setting a static IP on the printer, because the router stays in charge and you can't create an address conflict by accident.

While you're at it, type the printer's IP into a browser on the same network. That opens Web Config, Epson's built-in settings page, where you can check network status, set an admin password, and adjust firmware update behaviour without walking to the machine.

Step two: set up each device Windows 11 Confirm the printer is on the network and you have its IP address. Open Settings → Bluetooth & devices → Printers & scanners. Click Add device and wait fifteen to thirty seconds. Your Epson should appear by model name. Click Add device beside it. Print a test page: select the printer, open Printer properties, click Print Test Page.

If it never appears:

Click Add manually once the scan finishes. Choose Add a printer using an IP address or hostname. Set device type to Autodetect or IPP Device, enter the IP, and continue.

For scanning, install Epson's software. The generic Windows driver handles printing only. Go to Epson's support site, search your exact model, open Downloads, and get Epson ScanSmart, or install Epson Software Updater and let it pull the right scanner components. On multifunction machines this is expected, not a workaround.

When to install the full Epson package instead. If you need borderless photo settings, specific paper profiles, fax configuration, or your model predates the driverless ecosystem, download the full driver and utilities package from Epson's support site for your exact model number and Windows version.

Windows 10

Windows 10 reached end of support in October 2025. It still prints, but the modern print platform improvements aren't coming to it and it isn't getting fixes.

The path here is the traditional one. Download the full driver package from Epson's support site for your model, run it, choose your connection type, and let it locate the printer. If wireless discovery fails, the installer lets you enter the IP address directly.

If this is your main machine, plan the Windows 11 move.

macOS

Epson machines from the last decade are AirPrint devices, so macOS needs nothing from Epson to print.

Open System Settings → Printers & Scanners. Click Add Printer, Scanner or Fax. Look under the Default tab. Your Epson should be listed, usually described as Bonjour Multifunction. Select it and check the Use dropdown reads AirPrint or Secure AirPrint. Click Add.

If it doesn't show up, use the IP tab, enter the printer's IP address, set Protocol to Internet Printing Protocol - IPP, and add it that way.

Scanning on Mac: basic scanning works through Image Capture or the Scan tab inside Printers & Scanners. For document feeder control, multi-page PDFs, and scan-to-folder shortcuts, install Epson ScanSmart from Epson's download page. Some older models use Epson Scan 2 instead.

iPhone and iPad

No app needed to print.

Make sure the iPhone and printer are on the same network. Open what you want to print. Tap the share icon, scroll down, tap Print. Tap Printer and choose your Epson. Set copies and range, then tap Print.

Install Epson Smart Panel from the App Store for scanning, ink levels, maintenance functions like nozzle checks and head cleaning, and the guided Wi-Fi setup described above. It's genuinely more useful on Epson than the equivalent app is on most brands, because it exposes the maintenance tools you'd otherwise have to walk to the printer for.

Android

Current Android builds include the Mopria print framework, so printing works with nothing installed.

Open your document or photo. Tap the three-dot menu, then Print, or use Share → Print. Tap the printer dropdown at the top. Select your Epson. Tap the print icon.

If the list is empty, go to Settings → Connected devices → Connection preferences → Printing and check a print service is enabled. Install Mopria Print Service from the Play Store if nothing is listed. Menu names vary between Android skins, so search Settings for "printing" if you can't find the path.

Install Epson Smart Panel from the Play Store for scanning and maintenance.

ChromeOS

ChromeOS discovers network printers automatically.

Click the clock, then the gear for Settings. Go to Print and scan → Printers. Your Epson should be listed under available printers nearby. Click Set up. If it isn't, click Add printer manually, give it a name, enter the IP address, set protocol to IPP and queue to ipp/print. When asked for a driver, pick the generic IPP option if your exact model isn't listed. On modern Epson hardware this works properly.

Scanning works through the built-in ChromeOS Scan app on most network-connected Epson multifunction models.

Linux

Two routes, and driverless is usually the better one now.

Driverless, recommended for recent models. Make sure cups and avahi-daemon are installed and running, then open http://localhost:631, go to Administration → Add Printer, pick your Epson from discovered network printers, and select the IPP Everywhere driver.

Or from a terminal:

Epson's own driver, for older models or full feature control. Epson maintains ESC/P-R drivers for Linux and publishes them through its download centre. Depending on your model you want epson-inkjet-printer-escpr or escpr2. Many distributions package these already, so check your package manager first:

sudo apt install printer-driver-escpr

Then add the printer through CUPS as above, selecting the Epson model from the driver list rather than IPP Everywhere.

Scanning on Linux uses SANE. The driverless sane-escl backend covers many current Epson models with no vendor packages at all. For older hardware, Epson's Image Scan or Epson Scan 2 packages are available from the same download centre, and iscan remains in some distribution repositories.

Optional: Epson Connect

Epson Connect is a cloud layer on top of the printer. Skip it if you only print at home, but it's genuinely useful in two cases.

Email Print gives your printer its own email address. Anything you send to it prints. Useful for printing from a device that can't see the printer, or for letting a family member send you a document.

Remote Print lets you print to your home printer from a laptop that's somewhere else entirely.

To set it up, register the printer through Epson Connect, either from the printer's panel under Settings → Epson Connect Services, or through Smart Panel, or via the Epson Connect Printer Setup utility on a computer. You'll create an Epson account and receive the printer's email address.

Two honest caveats. It requires the printer to stay online and awake enough to poll the service, and it routes your documents through Epson's servers. If that matters to you, don't enable it. Nothing else about the printer depends on it.

Troubleshooting The printer shows offline in Windows

Usually the IP address changed.

Print a network status sheet and compare its IP to the port Windows is using, under Printer properties → Ports. If they differ, set a DHCP reservation in the router so it stops moving. Select the printer in Printers & scanners and make sure Use Printer Offline isn't ticked. Check the Print Spooler service is running: open services.msc, find Print Spooler, start it if stopped. Remove and re-add the printer using its IP address rather than its discovered name. Wireless setup fails or the network isn't listed Confirm the network is 2.4 GHz if your model is 2.4 GHz only. This is the top cause by a wide margin. Try Smart Panel's Bluetooth setup instead of the panel wizard. If your SSID is hidden, enter it manually rather than choosing from the scan list. Switch the router from WPA3-only to WPA2/WPA3 mixed. Turn off AP isolation on the network. Move the printer closer to the router for setup, then move it back. Reset network settings on the printer and start clean: Settings → General Settings → Restore Default Settings → Network Settings. Ink cartridge not recognised Take the cartridge out and check the yellow tape is fully removed. Wipe the chip contacts with a dry lint-free cloth. Don't touch them with fingers. Reseat firmly until it clicks. A cartridge sitting proud reads as absent. Check the region code. Epson cartridges are region-specific and a cartridge intended for another market may be rejected outright. If it's a compatible cartridge that worked before a firmware update, contact your supplier. Updated chips matched to newer firmware are usually available. Power the printer off, unplug it for ten minutes, and power it back on. This clears a surprising number of transient chip read errors. Nozzle check shows missing lines or banding

Work through this in order and don't skip steps, because head cleanings cost ink.

Run Nozzle Check from the maintenance menu. If lines are missing, run one Head Cleaning. Run another nozzle check. Compare. If it improved but isn't perfect, run one more cleaning. Maximum two or three in a session. If there's no improvement at all, stop. Leave the printer switched on and idle for six to twelve hours and try again. Time and the printer's own humidity control dissolve dried ink better than repeated cleanings do. Only as a last resort, run Power Cleaning (called Power Ink Flushing on some models). It uses a large amount of ink and Epson limits how often it can run. On an EcoTank, all tanks need to be adequately full before it will start. If a channel is still dead after all that, the head may need professional attention. Prints look grainy or colours are off Run Print Head Alignment from the maintenance menu. Check that the paper type selected in the print dialogue matches the paper actually loaded. Epson drivers change ink density significantly based on this, and it's the most common cause of muddy or oversaturated output. On photo prints, check you haven't left the print quality on Standard. "Service Required" or a message about parts reaching end of service life

Epson inkjets collect waste ink during cleaning cycles. Where that ink goes depends on your model.

Newer models have a maintenance box, a user-replaceable plastic cartridge usually at the back or side. It has its own part number. Order the right one for your model, swap it, and the message clears.

Older models have internal waste ink pads that aren't user-replaceable, and the printer counts pages rather than measuring actual saturation. When the counter hits its limit the printer stops. Epson's official answer is a service centre visit, which on a cheap machine can cost more than replacement. Third-party reset utilities exist and are widely discussed, but they reset a counter without addressing whether the pads are genuinely saturated. Saturated pads can leak. Know what you're choosing.

Error codes you'll actually see 0x97 on WorkForce models points at an internal hardware fault, often the main board. Power off, unplug for fifteen minutes, and restart. If it returns repeatedly, it's a service issue. 0xE5, 0xEA, 0xF1 are similar internal errors and respond to the same power-cycle test. W-01 and similar W-codes are paper jams. Open every cover, including the rear duplex unit, and check for torn fragments. I-40 or similar I-codes are informational, usually a tray or cover left open. E-01 is a general printer error requiring a power cycle. Scanning works but printing doesn't, or the reverse

This usually means a half-finished install where print and scan came in through different paths.

On Windows, if the printer went in as an IPP device, printing works and scanning won't until you install Epson ScanSmart or the full package. On Mac, check whether the machine appears in Image Capture. If it prints but won't scan, install Epson ScanSmart. On either, remove the device entirely and reinstall once through a single method rather than stacking installs on top of each other. Five minutes that prevent most future problems Print the network status sheet and keep it. IP address, MAC address, firmware version, all on one page. Set the DHCP reservation so the address never moves. Set an admin password in Web Config rather than leaving it open. Make your firmware update decision deliberately, especially if you plan to use compatible cartridges. Print something every week. Epson printheads are integrated into the printer, not into the cartridge, so a clog is a machine problem rather than a consumable problem. One page of mixed colour and black weekly is the cheapest insurance there is. Common questions

Do I still need Epson drivers on Windows 11? For printing, usually not. Windows uses its built-in IPP driver and modern Epson machines work with it directly. For scanning on a multifunction model, yes, you'll still install Epson software.

Smart Panel says my printer isn't supported. What now? Check Epson's Smart Panel supported-product list. If your model isn't on it, use Epson iPrint for printing and Epson Document Scan for scanning instead. Those are the older apps Smart Panel replaced, and they still work.

Should I fill all four EcoTank tanks even if I only print in black? Yes. The initial charge draws from every channel simultaneously. Filling only black means air enters the colour lines, and clearing that costs far more ink than filling the tanks would have.

Can I use third-party ink in an EcoTank? Physically, yes, the tanks accept any ink. There's no cartridge chip to authenticate. The trade-offs are print quality consistency, potential clogging from ink that isn't formulated for Epson's Micro Piezo heads, and any warranty position your region takes. Many people do it successfully. Many people also spend a weekend unclogging a printhead.

Will a firmware update stop my compatible cartridges working? It can. Epson has faced legal action over exactly this, and reports continue on current models. If you use compatible cartridges, disable automatic firmware updates during setup.

My printer prints from my laptop but not my phone. Check they're on the same network, not a guest network. Then check AP isolation is off on the router. That combination accounts for most of these.

Why does my Epson use ink when I'm not printing? Automatic maintenance cycles keep the printhead clear. It's the cost of an integrated printhead design. Printing regularly reduces how often those cycles run, which is why an idle Epson often uses more ink than a busy one.
